Executive Support Professional
Location: Newcastle, Maitland Region, NSW
Position: Full-Time, Onsite

An established and growing organisation is seeking an experienced Executive Support Professional to provide high-level support within a fast-paced leadership environment.
This is a unique opportunity for an accomplished professional who thrives on creating structure, building trusted relationships and ensuring senior leaders can operate at their best.
Working closely with a small executive team, you will play a pivotal role in coordinating priorities, managing competing demands and ensuring the smooth day-to-day operation of a professional corporåate office environment.
Key Responsibilities

  • Executive diary and schedule coordination
  • Meeting preparation and administration
  • Travel and logistics management
  • Stakeholder communication and liaison
  • Preparation of reports, presentations and documentation
  • Coordination of executive activities and priorities
  • Management of office and meeting facilities
  • Reception and visitor coordination
  • General administrative support across the leadership team
  • Ad hoc projects and business support initiatives

About You
You are a highly organised professional who enjoys working in a dynamic environment where no two days are the same.
You are known for your ability to:

  • Build trusted relationships with senior stakeholders
  • Anticipate needs and proactively solve problems
  • Remain calm and professional under pressure
  • Manage competing priorities effectively
  • Exercise sound judgement and discretion
  • Take ownership and follow tasks through to completion
  • Communicate confidently with stakeholders at all levels

Experience Required

  • Previous experience supporting senior leaders, executives or management teams
  • Strong organisational and administrative capabilities
  • Advanced Microsoft Office skills
  • Exceptional communication and stakeholder management skills
  • Experience handling confidential information
  • Ability to work autonomously and manage multiple priorities
